Fix 1: Check for any error messages

You should first check the printer itself if it seems offline and won’t print. Is it powered on? Verify that the paper tray is filled, then scan the printer display for any error messages that might hint at the problem. There can be a paper jam, insufficient or no toner, a network issue, or a printer error. Any problems you find, fix them. This will fix offline printer.

Fix 2: Ensure Wi-Fi is turned on

If your printer is directly connected to your computer, make sure the USB wire is tight. To rule out defective USB ports or cables as the root of the problem, you could also test various connection sites.

However, since most printers today are wireless, it’s easy for your printer to lose Wi-Fi connectivity and go offline. Make that your printer is connected to the same Wi-Fi network as the computer from which you are attempting to print. Fix 3: Restart both your printer and PC

One of the first stages in troubleshooting your printer is to restart it. If there is a problem, turning it on and off again gives the printer an opportunity to restart. You can shut off the printer by pressing the power button.

Fix 4: Check to make sure the printer is not in offline mode

The problem might be easier to solve than you might think because your printer may be operating in offline mode. Open the printer queue on your machine to verify:

From the Start menu, choose Settings.
In the navigation pane on the left side, click Bluetooth & devices.
From the list of Bluetooth & devices, click on Printers & Scanners.
Choose the printer type you want from the list.
Next, choose “Open printer queue”.
After choosing Printer from the menu bar in the printer queue box, make sure Use Printer Offline is not selected. If so, select it to enter online mode once more.

Fix 5: Reset the print spooler

A more serious software issue could be to blame for your printer’s malfunction. It’s possible that the Print Spooler, which facilitates communication between the computer and printer, has broken down. Reset the print spooler:

Begin by entering the word “services” into the Start search box. If Services is listed among the search results, select it.

In the Services section, look for Print Spooler.

Right-click the Print Spooler and choose Restart from the pop-up menu that appears.

Fix 6: Reinstall the printer drivers

Updates to your drivers are not essential if your machine is working properly. However, if the printer is offline, for example, updating the drivers might be helpful. Sometimes you do need to identify and replace old drivers.

Click Device Manager by pressing Windows key + X. Double-click the category for printers in the newly opened window. Choose Update Driver from the context menu of your printer.

Check the printer manufacturer’s website if there are no updates.

Fix 7: Make use of the printer software

To manage and troubleshoot your printer, several printer manufacturers have their own software. Installing the software is advised in this scenario.

You can see if it’s already installed. For Settings to appear, press Windows key + I. Select your printer by selecting Devices > Printers & Scanners, then click Manage. If the program is installed, a button that reads “Open printer app” will appear.

Look through the software to find any sections that allow you to restart, troubleshoot, or fix the printer.
